Programmes Guidelines
Guidelines Centrepoint Programmes

The following steps will ensure a successful programme: 
  1. First, send your idea by using the form below.
  2. Make every effort to come to the programmes meeting. You will be invited to attend once we receive your form. Here, the time, space and details of your programme will be confirmed.
  3. Please read the Guidelines.
In the announcement for the newsletter, you should include the following: 
  • Programme title
  • Date(s) 
  • Place (with full address)
  • Who (members, non-members, children over 6 years, etc.)
  • Total number of attendees possible
  • Costs to participants
  • RSVP (registration end date)
  • Short description of the programme (around 100 words). 
  • Ideally, please attach a picture for your programme. For the newsletter, it is important that it is a picture with good contrast, to be able to be printed in black and white.   
Your announcement will be published in the newsletter and on the CP website. 

Please note that any small changes to an existing programme (e.g. change of venue, time or date) should be communicated to both programmes{at}centrepoint.ch and newsletter{at}centrepoint.ch as soon as possible, because Horizon is printed well before the end of the month to allow for posting.


Before your event/programme

  • If your programme takes place outside of regular open hours, be sure that you get the door code from the Programmes Manager. This code is not to be shared with anyone else. Please note that the door should be closed outside Centrepoint opening hours, the programme leader is responsible for letting participants in.
  • You are responsible for setting up chairs, tables and any equipment needed.

  • If you need to use the overhead projector or any other Centrepoint equipment or materials, this needs to be arranged in advance.

 
When you leave Centrepoint, lock everything as you go and close the windows, clean up and leave the room the way you found it. You are responsible for removing any rubbish including all (empty) bottles. If you leave any food or drink, please date it.
 
 
Consider asking one of the participants to write a review of your programme (or write one yourself) which can be published in the newsletter or on the Programmes pages of the Centrepoint website (include a photo if possible, you need to ask attendees for permission):

  • We will not, under any circumstances, allow a profit-making business to use a Centrepoint programme solely for their own promotion.
  • We will also not allow programmes or even rented Centrepoint space for political or religious groups.
  • Centrepoint Programme group leaders must be qualified to lead their programme, yoga, EFT, nutrition, etc. We may ask you to confirm you have relevant experience or hold relevant qualifications.
  • Programme leaders must be members of Centrepoint and give their time as volunteers.
  • Centrepoint will only allow programmes if members are not dependent on the programme leader to get more information, for example a Yoga programme can be allowed because there are other people in Basel offering Yoga and there is adequate information about this available in English.
  • Running a programme does not mean that Centrepoint endorses any particular programme leader or technique.
  • Centrepoint would like you to follow the guidelines.
  • The ground rule is: All programmes held at Centrepoint should be free for members and 10.- CHF for non-members.
  • Centrepoint does not subsidize costs for materials or refreshments (this includes photocopied information sheets etc.); other than the coffee, tea that already is available.
  • If you want to distribute photocopied material to participants, please use Centrepoint facilities.
  • Organisers can claim necessary costs for organising an event. If there are more substantial costs associated with a programme, attendees will be charged to cover these costs (as well members as non-members).
  • For a more major event (such as the New Year’s party) the Treasurer can provide a cash advance to the Event Organiser if requested. This advance is paid into the Organiser’s bank account and expenditure is then accounted
  • for (see below).
  • There is an accounting sheet for programmes leaders to fill out if you have collected fees or incurred costs. This should detail what your expenses are (with receipts), as well as the money collected from the participants; please send the completed form to the Treasurer with a copy to the Programmes Manager, keeping a copy for your own records. Any net proceeds should be paid directly into Centrepoint’s account with Post Finance, using a payment slip.    
  • When organising an event outside Centrepoint, non/members and members simply cover the costs of the event. Entry fees or charges made by third parties should be charged to members and non-members equally.
  • If materials, Artworks or books, etc., are to be sold at a programme, this needs prior approval by Programmes Manager, and Centrepoint receives 10% of sales. Again, such proceeds should be paid directly into Centrepoint’s account with Post Finance and the Treasurer and Programmes Manager informed.

Send an email to cancellation{at}centrepoint.ch with the following information:
  • Date
  • Time
  • Name of the programme
  • Your name
  • Reason why you cancelled the programme.
This email automatically goes to: Programmes, Reservations, Front Desk, Newsletter and Web teams.
 
Programme leaders are responsible to make sure that the participants are aware of the cancellation.
